Before we get into the details

If you are wondering what happens to your files when you upload them, the answer is simple: we upload them securely, process them to generate your analysis and report, make them available to you in your account, and keep them only as long as your account needs them. We do not publish your files and we do not share them with anyone unexpected.

You can delete your uploaded assets and reports at any time. If you close your account, we will remove your files in line with this policy.

Who we are

This privacy policy explains who we are, how we collect, use and disclose your personal data, and how you can exercise your privacy rights. If you have any questions, suggestions or complaints about our use of your data or this privacy policy, please contact us using the details at the bottom of this page.

We are Iconic Arts Ltd. ("Operator", "we", "us" or "our"). This privacy policy applies to visitors and users of the Operator's products, apps and websites that link to this policy, including ip-iq.ai and related subdomains (each a "Service", or together the "Services").

The Services and our content are not directed at children. Children are not permitted to sign up for any of the Services. We do not knowingly collect or solicit personal information from children. If we learn that we have collected personal information from a child without valid consent from someone with parental responsibility, where required, we will delete that information as quickly as possible.

1. We process your personal data as follows

1.1 Information you provide us directly

When you use our Services we collect personal data. For example, we may ask you to provide your name, email address, organization, industry, marketing preferences, subscription type and other details to register an account, complete your profile, submit enquiries or sign up for enterprise access. We will make it clear what data we collect and the reasons why we collect it. We also collect any messages you send to us. We use this information to operate, maintain and provide the features and functionality of our Services, to correspond with you, and to address any issues you raise.

1.2 Information we receive from third parties

We may receive information about you from third parties. For example, if you access our Services through a third-party connection or login such as Google OAuth, that third party may pass certain information about your use of its service to us. This information could include your name and email address, and any other information that you have permitted the third party to share with us. You should always review and, if necessary, adjust your privacy settings on third-party services before linking or connecting them to our Services.

1.3 Information we collect through your use of our Services

Our web server collects data that your internet browser communicates to us, including the IP address of the requesting computer, location data, device or app data, together with the date, time, the request, which file is requested, the amount of data transferred, a message as to whether the request was successful, identification data of the browser and operating system used, and the website from which the access was made. Server logs are stored for a limited period for security and troubleshooting. We also collect information about how you interact with our Services, such as the pages you view, the links you click, the features you use, session duration, account logins and purchasing behavior. We use this information for internal analytics to improve the quality and relevance of our Services and to create aggregate, anonymized statistics.

1.4 Cookies information

When you use our Services, we send cookies, small text files containing a string of alphanumeric characters, to your device that uniquely identifies your browser and lets us help you log in faster and enhance your navigation through our Services. A cookie may also convey information to us about how you use our Services, and allow us or our business partners to track your usage. You can control or reset cookies through your web browser. However, some features of the Services may not function properly if the ability to accept cookies is disabled.

2. Legal basis for processing personal data

We need a legal basis to collect, use and disclose your personal data. Our legal basis for collecting, using and disclosing your data will depend on the data concerned and the context in which it is processed. We will normally process your data only where we need the data to perform a contract with you, it is in our legitimate interests to do so, or we have your consent to do so. In some cases, we may also have a legal obligation to process your data.

  • Contract: when you create an account, subscribe to a plan or use paid features, we process your data to provide the Services you have requested.
  • Legitimate interests: we process data to ensure system security, manage the website technically, optimize service quality, understand our users, grow our business, analyze use of and improve our Services. We do not rely on this lawful basis where our legitimate interests are overridden by your interest in protecting your data.
  • Consent: where required, we will ask for your consent before sending marketing communications or placing non-essential cookies. You can withdraw consent at any time.
  • Legal obligation: we may process your data because it is necessary to comply with our legal obligations, such as for tax, accounting and audit purposes.

3. Sharing your personal data

We may disclose your personal data to the following categories of recipients:

  • To our group companies, service providers and partners who provide data processing services to us, for example to support delivery of, provide functionality on, or help enhance the security of our websites, host data, process payments, send communications or provide analytics services.
  • To any competent law enforcement body, regulatory authority, government agency, court or other third party where we believe disclosure is necessary to comply with a legal or regulatory obligation, or otherwise as permitted by applicable law.
  • To a buyer or other successor in the event of a merger, divestiture, restructuring, reorganization, dissolution or other sale or transfer of some or all of our assets, whether as a going concern or as part of bankruptcy, liquidation or similar proceeding.

4. International data transfers

Your personal data may be transferred to and processed in countries other than the country in which you are resident. These countries may have data protection laws that are different from the laws of your country. We take appropriate safeguards to require that your personal data will remain protected in accordance with this privacy policy, including through the use of standard contractual clauses approved by relevant regulators where applicable.

5. Data security

We implement reasonable administrative, technical and physical safeguards designed to protect your personal data from unauthorized access, use, alteration or disclosure. We restrict access to personal data to employees, contractors and agents who need to know that information to operate, develop or improve our Services. No method of transmission over the internet or method of electronic storage is completely secure, so we cannot guarantee absolute security.

6. Data retention

We retain personal data for as long as necessary to provide the Services, maintain your account, resolve disputes, comply with legal obligations and enforce our agreements. Uploaded assets and generated reports are stored for as long as your account remains active or until you delete them. Server logs and analytics data are retained for limited periods. When we no longer need personal data, we will delete or anonymize it.

7. Your privacy rights

Depending on your location, you may have the right to access, correct, update, delete or restrict the processing of your personal data. You may also have the right to receive your data in a portable format, object to processing based on legitimate interests, and withdraw consent where processing is based on consent. To exercise these rights, contact us using the details below. We will respond within the timeframe required by applicable law.

8. Updates to this privacy policy
